Here’s How Password Sharing With a VA Really Works

Worried about handing over your passwords to a virtual assistant? Yeah, it could be a real “hold back”, especially with someone you have never had a conversation with. Your inbox, your calendar, your client list, that’s the heartbeat of your business, and handing someone the keys can feel scary.

Here’s the good news: you almost never have to hand over an actual password. Most platforms already have a smarter way built in.

Delegation and sharing

A lot of the tools you already use, like Gmail and Google Calendar, let you delegate access instead of sharing a login. You pick the level of access, anywhere from read only to full edit, and you stay in control the whole time. Change your mind next week? Revoke it in a couple clicks. The password never changes hands.

Seats and guest access

If you’re paying for a seat nobody is using, that’s a perfect spot for your VA. Some platforms also offer guest access for free, though guest seats usually come with limits on what that person can see or do. You can buy an extra seat too, and the price swings wildly depending on the platform. I learned that one the hard way. I added my husband to my Workspace account for emergencies, just in case something happened to me, and it quietly added seventeen bucks a month. That’s real money for a startup, so we found a free workaround instead. Go High Level, for example, lets you build a profile for your assistant right inside your sub account. ClickUp and Monday.com usually want you to buy a seat, or they offer a guest seat, probably with some limitations.

Password vaults

Sometimes a password really does need to change hands, maybe for a platform that doesn’t offer delegation at all. That’s exactly what password vaults are for. Tools like Bitwarden and 1Password password managers encrypt everything, so your assistant can use a login without ever actually seeing the password. You’re sharing access, not the actual password.

None of this has to feel like a leap of faith. No matter the nature of your business, you can hand off the busywork without handing over the whole vault.
